2. Which sources and data do we use

We only process the personal data that is necessary for the respective purpose of processing (see Section 3). This is data that we received directly from you (e.g. data that you entered to register for a newsletter.

3. Why do we process your data (purpose of processing) and on what legal basis

The aforementioned personal data will be processed by us in accordance with the provisions of the General Data Protection Regulation (GDPR) and the Federal Data Protection Act (BDSG). The association represents and promotes the interests of the entire German automotive industry. For this purpose, the VDA organizes the IAA, which has established itself as the leading mobility trade fair. The two trade fairs IAA MOBILITY and IAA TRANSPORTATION alternate annually:

 

Internet presence

The VDA would like to ensure, among other things, a smoothly functioning website and an optimized provision of its services on the IAA websites to ensure that an attractive trade fair can be carried out smoothly and thus represent the interests of the automotive industry. Server log files

Every access to our web presentation and every retrieval of a file stored there is logged. The storage serves internal system-related and statistical purposes. The following are logged: name of the retrieved file, date and time of retrieval, amount of data transferred, notification of successful retrieval, web browser and requesting domain. In addition, IP addresses of the requesting computers are logged. The basis for data processing is Article 6 Paragraph 1 f, which allows the processing of data to fulfill a contract or pre-contractual measures.

Cookies

Some of the websites use so-called cookies. Cookies do not cause any damage to your computer and do not contain viruses. Cookies serve to make our offering more user-friendly, effective and secure. Cookies are small text files that are stored on your computer and that your browser saves.
Most of the cookies we use are so-called “session cookies”. They are automatically deleted after your visit. Other cookies remain stored on your device until you delete them or they expire. These cookies enable us to recognize your browser the next time you visit.

Twitter

Our website integrates content from the Twitter service. The content is provided by Twitter Inc., 1355 Market Street, Suite 900, San Francisco, CA 94103, USA. If you access a subpage that includes Twitter content, a connection will be established to Twitter servers in order to be able to display the content. This data is also transmitted to Twitter. If you are logged into your Twitter account, Twitter can assign your surfing behavior to your account. The integration of Twitter content is based on Art. 6 Para. 1 f GDPR in order to present our online offerings in an appealing manner.

YouTube

Our website uses plugins from the YouTube site operated by Google. The website is operated by YouTube, LLC, 901 Cherry Ave., San Bruno, CA 94066, USA. When you visit one of our pages equipped with a YouTube plugin, a connection to YouTube's servers is established. The YouTube server is informed which of our pages you have visited. If you are logged into your YouTube account, you enable YouTube to assign your surfing behavior directly to your personal profile. You can prevent this by logging out of your YouTube account. The use of YouTube is in the interest of an attractive presentation of our online offerings. This represents a legitimate interest within the meaning of Art. 6 Para. 1 f GDPR. Google Analytics

This website uses functions of the web analysis service Google Analytics. The provider is Google Inc., 1600 Amphitheater Parkway, Mountain View, CA 94043, USA.

Google Analytics uses so-called “cookies”. These are text files that are stored on your computer and enable your use of the website to be analyzed. The information generated by the cookie about your use of this website is usually transmitted to a Google server in the USA and stored there.

Matomo

This website uses the open source web analysis service Matomo. Matomo enables us to evaluate your website usage in a data protection-friendly manner in order to measure the success of our offers, improve our offers and make the content more interesting. Matomo does not set cookies on your device for this purpose. Adform

We use the Adform tool from Adform A/S Wildersgade 10B, sal. 1 DK-1408 Copenhagen, Denmark. Google Ads Remarketing & Conversion Tracking 

We use the remarketing and conversion function of Google Ads, Google's online advertising program. Google Remarketing is a function in the Google Ads interface. With the help of cookies, we can present users of our website with advertisements based on their interests and also understand the success of our Google Ads advertisements.

The VDA also offers various services related to the IAA on its websites to hold the IAA and to increase the attractiveness of the trade fair:

Exhibitor and co-exhibitor registration:

Interested companies register as exhibitors for the IAA via the exhibitor and co-exhibitor registration form. The data required for registration is provided by the exhibitor when registering online. The data is processed for the purpose of fulfilling the contract in accordance with Art. 6 Para. 1 b GDPR. The VDA uses service providers in accordance with Section 4 to carry this out.

Exhibitor directory

IAA exhibitors and co-exhibitors are listed in the exhibitor directory on the IAA website and in the official app. The name of the company and the stand number are mandatory. The exhibitor/co-exhibitor can decide whether further information about the company should be published. The legal basis for data processing is Art. 6 Para. 1 b GDPR (fulfillment of the contract).

New releases directory

Exhibitors/co-exhibitors have the opportunity to publish new products/premieres. To do this, interested exhibitors/co-exhibitors must fill out an online form. The data required for the new product directory service is processed on the legal basis of contract fulfillment in accordance with Art. 6 Para. 1 b GDPR.

Press accreditation

Journalists have the opportunity to be accredited for the IAA. The data required for this can be entered into an online registration form. The data is processed for the purpose of accreditation in accordance with Art. 6 Para. 1 b GDPR.

Electronic press boxes

Exhibitors can publish their own press releases on the IAA website. The data entered by the exhibitor will be processed to carry out this service in accordance with Art. 6 Para. 1 b GDPR (fulfillment of the contract).

Newsletter

You can subscribe to a free newsletter on our website. Processing is carried out on the basis of Article 6 Paragraph 1 Letter a GDPR with your consent. You can revoke your consent at any time without affecting the lawfulness of the processing carried out based on your consent before its revocation. You can unsubscribe from the newsletter at any time using the corresponding link in the newsletter or by notifying us. Your email address and name will then be removed from the distribution list. You also agree that we may evaluate personal user behavior through newsletter tracking. We evaluate your user behavior using so-called tracking pixels and specific link URLs.

To register for our newsletter, we use the so-called double opt-in procedure. This means that after you register, we will send you an email to the email address you provided, in which we will ask you to confirm that you would like to receive the newsletter.

Your data will be processed by an email marketing service provider commissioned by us.

Carrying out specialist events and information events

As part of the IAA, specialist events and information events are held for technical and political discourse on topics relating to the automotive industry, for which participants can register. To do this, the required data must be entered into a contact form. The data is processed to fulfill contractual obligations (Art. 6 Para. 1 b GDPR). If film and/or photographs are taken at this event, by participating you are giving the VDA your consent to the creation, processing and use of the image, video and sound recordings for documentation purposes as well as in the context of press and public relations work relating to the event IAA. School class action

As part of the school class campaign, teachers can purchase discounted tickets for their school classes or course groups online in advance and after the advance sale has ended from September 5th via a certificate of participation at the box office. The data required for registration is entered by the teachers when registering online and processed in accordance with Art. 6 Para. 1 b GDPR for the purpose of registration and subsequently verification of the information.

4. Who gets my data

Access to your data within the VDA is limited to those bodies whose access is necessary to fulfill the purpose of the processing. In some cases, the VDA uses service providers (e.g. for hosting services, for sending newsletters) who process data on our behalf for this purpose. We only use these service providers if they comply with our written data protection instructions and guarantee compliance with the requirements of the EU General Data Protection Regulation (the Federal Data Protection Act).

We strive to use all technical and organizational options to store your personal data in such a way that it is not accessible to third parties.

6. How long will my data be stored

The length of time your data is stored depends on the purpose of data processing. Thereafter, we only store your data for as long as is necessary for the purposes for which it is processed.

If the data is no longer required to fulfill the purpose, it will be regularly deleted, unless further processing is necessary for the purpose of fulfilling commercial and tax retention obligations or to obtain evidence within the framework of statute of limitations regulations.

7. Your data protection rights

Information, correction, deletion, restriction of processing, objection, data portability, complaint

You have the right to receive information free of charge at any time about the origin, recipient and purpose of your stored personal data in accordance with Art. 15 GDPR. In addition, you have the right to correction in accordance with Art. 16 GDPR, to deletion in accordance with Art. 17 GDPR and to restriction of processing in accordance with Art. 18 GDPR, the right to object to processing under Art. 21 GDPR and the right to data portability under Art 20 GDPR. The restrictions in accordance with Sections 34 and 35 BDSG apply to the right to information and deletion. Revocation

You can revoke your consent to data processing at any time by sending us an informal email to datenschutz@vda.de (further contact details in section 1). Your revocation is only valid for the future. The processing of your data based on your consent until its revocation remains lawful.

Right to object according to Art. 21 EU GDPR

You can object to the processing of your personal data for advertising purposes - including profiling related to direct advertising - at any time without giving reasons.

In addition, you also have a general right to object (see Art. 21 Para. 1 GDPR). In this case, the objection to data processing must be justified.
